This is one of the most important questions to ask, and you should be suspicious of anyone who waves it off. The short answer: the automation I build uses enterprise-grade security and connects to your business inside your own environment — whether your books live in QuickBooks, Microsoft Dynamics 365 Business Central, or another system. Your data isn't handed off to some separate, unknown AI tool.
Where does my data actually live?
In your own environment, under your own access controls — not copied out to a random third-party AI service. Automation connects securely to whatever system you already run, whether that's QuickBooks or Business Central, so your financial and customer data stays where it already lives instead of being duplicated somewhere new.
Who can see it?
The same people who can see it today, based on the permissions you already have set. Automation doesn't loosen access controls — if anything, it reduces the number of people who need to touch sensitive data by hand as part of a manual process, like re-typing invoice details or reading account balances over the phone.
Is AI “training” on my business data?
No. The automation platform I build on is designed with data boundaries specifically so your business data isn't used to train models for other customers — regardless of whether it's connecting to QuickBooks, Business Central, or another system. That's a meaningfully different setup from a free consumer AI tool, which is exactly why I'm deliberate about which platform the automation actually runs on.
Security isn't a feature I add on top — it's a requirement I design the automation around from the start.
What should I ask any vendor about this?
Where the data physically lives, who has access, whether it's used to train anything outside your business, and whether the platform has real enterprise security behind it — not just a privacy policy page. If those answers aren't clear and specific, that's worth pausing on.
